Friends of Prague Passageways Club

This document provides you with an overview of how we handle your data as part of your membership in the Club. Our priority is the security of your data and a transparent approach.

1. Scope of Processed Data

As part of your registration for the Friends Club, we process only the necessary information:

  • First and last name
  • Date of birth (to verify the member’s age)
  • Residential / mailing address
  • Email address (for communication and access to the members’ section)
  • Telephone number
  • Information regarding payment of the annual membership fee

2. Purpose and Legal Basis of Processing

We process your data for the purpose of fulfilling the membership agreement (Art. 6(1)(b) GDPR), which includes:

  • Maintaining the membership database and administering the membership fee
  • Sending a regular monthly newsletter with information about events in the passageways
  • Providing access to the exclusive members’ section with interviews
  • Informing you about membership benefits and project updates

3. Data Retention and Security

Personal data is stored for the duration of your active membership and subsequently for 3 years for the purpose of protecting legal claims. Data processed on the basis of your consent (e.g., marketing beyond membership) is stored until the consent is withdrawn.

4. Recipients of Personal Data

Your data is safe with us. We do not share it with third parties except for trusted partners who ensure the technical operation of our services (web hosting, newsletter distribution platform, and accounting management of fees). All such partners are bound by strict confidentiality.

5. Your Rights

Under the GDPR, you have the right to access your data, rectify it, erase it, restrict its processing, the right to data portability, and the right to object. If you believe your data is not being handled correctly, you have the right to contact the Office for Personal Data Protection.
